Overview

Adamant Music School seeks an experienced, creative part-time professional to strengthen donor engagement and fundraising.

This 6-month contract focuses on retaining current donors, reconnecting with past supporters, and launching Adamant’s first comprehensive giving campaign — the Vermont Legacy Giving Levels.

The Coordinator will help shape every aspect of the donor experience: developing meaningful events and recognition benefits, deepening relationships with supporters, and building the foundation for long-term fundraising success.

Key Responsibilities

Donor Stewardship & Recognition

  • Thank donors promptly by phone, letter, or email; ensure acknowledgments within 48 hours.

  • Track and deliver recognition benefits for all giving tiers (Neighbor through Evergreen Founder).

  • Draft donor communications — thank-you templates, renewal messages, impact updates.

  • Maintain donor listings for website, concert programs, and the on-site Donor Wall.

Fundraising Campaign & Event Development

  • Coordinate rollout of the new Vermont Legacy Giving Levels and integrate into appeals.

  • Design and distribute seasonal fundraising campaigns (e.g., Spring Member Drive, Sugar Maple Campaign).

  • Develop and implement donor appreciation events and rewards — receptions, masterclasses, house concerts, or Vermont-themed thank-you gifts.

  • Collaborate with leadership to build a clear, tier-based rewards system that reflects Adamant’s artistry and community spirit.

  • Plan and execute at least one signature donor event during the contract term.

Donor Cultivation & Outreach

  • Reconnect with lapsed donors and alumni; coordinate outreach with board and volunteer callers.

  • Identify and qualify prospects for higher giving tiers (Green Mountain Ambassador and above).

  • Track pledges, renewals, and memberships; ensure timely follow-up and benefit delivery.

  • Gather feedback from donors to refine recognition and engagement practices.

Database & Reporting

  • Support setup of Bloomerang CRM and Fundraising platform; enter donor data, giving history, and contact notes.

  • Maintain accurate records of gifts, pledges, and communications.

  • Provide weekly progress reports summarizing outreach, donor engagement, and fundraising results.

Qualifications

  • Experience in donor relations, fundraising, or nonprofit development (arts background preferred).

  • Creative, organized communicator able to design donor experiences and events.

  • Excellent writing and interpersonal skills; genuine enthusiasm for expressing gratitude.

  • Familiarity with donor databases or CRMs (Bloomerang preferred).

  • Comfortable making donor calls and collaborating with the Board of Directors and volunteers.

  • Appreciation for classical music, arts education, and Vermont’s artistic heritage.

Contract Terms

  • Fixed 6-month contract, renewable based on measurable fundraising and engagement results.

  • 12+ hours per week; remote work with flexible scheduling.

  • Reimbursement for pre-approved donor engagement expenses (printing, mailings, event costs).
